SummerSing 2019 Updates

Below is all of the information we have sent to registered participants.  We will update with information every time a new email is sent.  So, check here for the latest information!

Thank you for registering for SummerSing 2019!

Classes/Schedules:

¯  Please check your child’s folder after the first day of class because some classes have specific things that your child needs to wear and/or bring.  Remember some children will be painting, others will be “moving” so please have your child dress comfortably, modestly, and in clothing that won’t take special attention.

¯  Some classes have “optional” homework for participants.  In order to gain the most from the class your child should do what they can.  We do realize it is not always possible for children to complete everything but want to provide all that we can.

¯  If your child is bringing a lunch be sure it has their first and last name clearly labeled.   After the first day, please include their team color to help lunch go faster.   An afternoon snack and drink will be provided.

Songs:

¯  Remember to have your child listen to their CD everyday so they can learn the music BEFORE SummerSing.  That way we can spend time polishing and doing choreography. If you have not picked up the CD yet, it is still available at the Event Registration desk on Sundays and Wednesday evenings before service or at the main office during business hours (8:30-4:30- M-Fr).

Consent:

¯  If your child is missing a signed consent form, you will need to complete the online form before Monday otherwise your child WILL NOT be allowed to participate.  If this form has not been completed before 7/16 you will have to wait in a separate line to complete an alternate form before you can pick up your child’s schedule information.

Please note:  once you have entered the parent/guardian names & email addresses you must open each email that is sent to you, click on the link, and electronically sign the form to complete the process.   The emails will be from the following email address: Idlewild Baptist Church <esign@idlewild.org> on behalf of Idlewild Baptist Church <donotreply@docverify.com> with the subject: Please Sign 23094 – Minor Release.  This form must be completed from each email address entered.

Medication Policy for SummerSing:

¯  Medications are not administered to children during SummerSing hours.

¯  Children are not allowed to carry any medications (including over the counter) with them.

¯  Epipens & Hand Held inhalers are to be labeled with your child’s full name and grade completed and given to the nurse on the first day of SummerSing at drop off.

¯  Please contact the Children’s Music Office (264-8747) BEFORE SummerSing week if you have any questions.

¯  If your child visits the nurse a note with details will be emailed to the address you entered in your registration.

Drop-Off & Pick-Up Procedure:

¯  Please note that someone must bring the dismissal card to pick up your child each day. This is for the safety & security of your child!!!  There will be two dismissal cards included in your child’s folder on the first day of SummerSing.  Please be sure to take them with you so you will have them when you come to pick up your child in the afternoon.  You will have one for yourself and one to give to someone else who may be scheduled to pick up your child.

¯  If someone else is picking up your child, please give them one of your dismissal cards.  You may take a picture of the card with your smartphone and we will honor that for pickup.  If this is not possible, they will need to check in with photo identification at the SummerSing Information desk before pickup to get a temporary card.  Temporary pickup cards will only be issued to those listed on your child’s registration.

¯  If you need to add someone to your approved pickup list you may send an email to SummerSing@idlewild.org  from the email account you used to register your child requesting the name of the person to be added and the name of the child whom they are approved to pick up.

Friday, “Fun” Day – Pick Up at 1:30pm

¯  The children work hard throughout the week and then play hard on Friday.

¯  Our plans for this shorter day will be inside play plans.

¯  Your child will need to dress so that they will be able to play physical games modestly.

¯  Pick-up procedure will be the same as the previous days.

Drop-Off Procedure

  • Please park each morning in the Red/Blue parking lot to drop off your child. Click here to see a Parking Map.
  • Enter through the Red/Blue parking lot side of the building.  All other entry doors will be locked for security.
  • Bring your child to the Worship Center each day before 9:00 a.m. Click here to see the Dropoff Map.  We will begin promptly at 9:00 a.m. but cannot be responsible for children left before 8:40 a.m. Drop off & pickup will be arranged by color so please know your child’s color (you will get this at check in on the first morning) and look at that map carefully before you come to pick up your child.
  • If you need to locate your child for any reason, you will need to come to the information table in the Gatheria.  You MUST check-in and receive a guest nametag before visiting any student areas.
  • Late arriving and/or early leaving children must be signed out at the registration table in the Gatheria.
  • Early dismissal will not be allowed after 3:00p.m. so be sure to arrive at the registration table by 2:45 if your child needs to leave early.

Cell Phone Policy

  • Please have your child leave their cell phone at home.  There are many telephones around for use if it is necessary.  If your child needs a cell phone, please have them check it in at the registration desk in the morning and check it back out again every afternoon.  If the cell phone is out then we will check it in at the registration desk and it may be checked out there at the end of the day.

SummerSing Text Reminders

We have set up a Remind text/email group to keep you up to date with important information and reminders about SummerSing.  If you would like to receive text/email reminders there are two ways you can sign up.

  • If you have children in the 2nd/3rd Grade age group (or in both age groups) you may text @ss19gr23 to 81010 or from a web browser go the following link and enter your name and email or texting number:  https://www.remind.com/join/ss19gr23.
  • If you have children in the 4th/5th Grade age group you may text @ss19gr45 to 81010 or from a web browser go the following link and enter your name and email or texting number:  https://www.remind.com/join/ss19gr45.
  • Both groups will have the same notifications so if you have multiple children participating, please just join one of them.  Joining both will only send you duplicate reminders.

SummerSing Donation Project

  • We are collecting supplies to support students at Sligh Middle School. IBC member Anthony Jones is the Principal and will be opening a food/supplies pantry for the families. Below is a list of specific donation needs that you and your child can choose from. The goal is to give Sligh students easy snacks and meals that they can fix during the weekend at home.
  • Canned foods (that a middle schooler would eat)
  • Individual Mac and Cheese
  • Granola/Protein bars
  • Toothbrushes/Toothpaste
  • Soap/Deodorant
  • NEW Black or Red solid color adult size polo shirts (extra points for these)
  • Students may turn in items from the list each day and earn points for their team.
  • Items may be turned in at drop-off with your child each morning.

SPECIAL ATTENTION NEEDED

If your child has been placed in a class that requires advanced preparation you will have already received notification.  Below is the information detailing what should be prepared for each of these classes.

Be a Composer B
If your child is scheduled for Be a Composer B, they will need to bring in their own original music composition & lyrics to class.  We will review each student’s composition and two pieces will be chosen to fully produce.  So bring out your best work and be prepared to compose!

Guitar/Violin
If your child is scheduled for Guitar or Violin, they will need to provide their own instrument (strings strung and in good shape).  Guitars should be acoustic, not electric.  You may borrow one from a friend, or use one of these places to rent one if you’d like:

Say Cheese
If your child is scheduled for Say Cheese, have them bring in a digital camera.  It would be best for them to learn using their own camera; however, if they can borrow a friend’s that will work as well.  They need to make sure that the camera is fully charged and has storage room available for lots of pictures.  If one is not available, please let us know in advance and we will try to find one for them to use during classroom activities.

Dismissal Procedures:

  • Two copies of a pickup card for your child will be included in your child’s folder at registration check-in on the first morning of SummerSing.  You must bring this card each day to pick up your child.  You may take a picture of your security card and present it on your smart phone.  Please note that the picture must be clear with the child’s name and security tag number readable.  If someone else is picking up your child, please pass along a card or picture of the card to them.  If you need to add an approved pickup, please send an email request to SummerSing@idlewild.org from the email address listed in your registration.
  • Please note that pickup times are 3:30 Monday through Thursday and 1:30 on Friday. This is a change from last year.

Family Night Dinner Tickets:

  • If you pre-ordered Family Night Dinner tickets, they will be included in your child’s folder at registration check-in on the first morning of SummerSing.  Please do not forget to remove them from the folder and hold on to them to use on Thursday evening.  Additional Family Night Dinner tickets will be available for purchase beginning Tuesday during SummerSing week.

Dress for SummerSing:

  • Dress for the week is casual.  Please dress comfortably and be prepared, in some classes you may get dirty!  Each student will be assigned a team color on Monday (7/15) and will get their shirt at the end of the day to help them in dressing the rest of the week in their team color.  For the Thursday, July 18th presentation students will need to wear their SummerSing t-shirt & appropriate length blue jean shorts, skorts, skirts, or capris.

Teams

All children are placed on color “teams” for the week.

  • They will have opportunities to earn points for their team during the day and at home as well.
  • Please be sure you know your child’s team color (they will get this at check-in on the 1st day of SummerSing).  This will help with pick-up, etc.
  • Each team will learn a cheer and have their own team flag.
  • Your child will also have the opportunity to earn points by
  • Doing devotions in their folders,
  • Memorizing Bible verses,
  • Participating in their classes and rehearsals,
  • Wearing their team color (they will get a team t-shirt at the end of the 1st day but it’s always fun to accessorize)!
  • Bringing back papers/homework

Family Night – Thursday, July 18

  • Enter through the Red/Blue parking lot side of building (same one you bring your child to every day)
  • You can see firsthand what your child has accomplished in their classes throughout the week as well as enjoy a mini-musical presentation of “The Secret of Snowflake County.”  This evening is an important part of the whole SummerSing experience.  If your child is unable to attend for some reason, please let us know BEFORE that week.  We don’t want others to be effected by this decision.
  • Family Night Schedule
  • 5:00 – 6:30 – Family Dinner in the Gatheria (see below for that information)
  • 6:00 – 6:55 Sneak Peek – Most classes will have a display and/or the leader of the classes represented at tables over on the Children’s building side of the Gatheria; Come meet the leaders, get information and see what your child has done in their classes.  You can also see what other classes offer so your child can decide what classes they might want to choose next year!
  • 7:00 All participants on stage,

  • 8:05 Dismissal by Team Color – You must have Dismissal Card for Family Night Pickup

  • BBQ Dinner – A barbecue dinner will be served from 5-6:30, $6 for adults, $3 for kids if payment is made by Wednesday, July 17.  If you purchased tickets with your registration they will be in your child’s folder at check-in on the 1st morning of SummerSing.  Be sure to take them out along with your dismissal cards so they don’t get lost! Cost at the door will be $7 for adults and $4 for children.  Click here to download and print the ticket order form.
  • Your child will need to be on stage at 7:00p.m. dressed in their SummerSing t-shirt, and longer denim skirts, skorts, pants, or shorts. (They will receive their SummerSing t-shirt on the first day of classes)

Classes/Schedules:

  • Your child will receive their schedule of classes on the first day of Summer Sing. All completed 2nd/3rd Graders (unless they have auditioned for & received a special part) will have 2 “choice” classes, 1 rehearsal class, and 1 music experiences class.  All completed 4th/5th graders (unless they have auditioned for & received a special part) will have 3 “choice” classes plus a rehearsal class.
  • Some classes have advanced preparation needed. If your child has been placed in a class that requires advanced preparation or instrument rental you will receive this information in our 6/24 email.  Information on instrument rental will be included along with that mailing.

SummerSing T-shirt Orders:

  • Each student will be assigned a team color on Monday (7/15) and will get their shirt at the end of the day to help them in dressing the rest of the week in their team color.  For the Thursday, July 18th presentation students will need to wear their SummerSing t-shirt & appropriate length blue jean shorts, skorts, skirts, or capris.  The cost of your t-shirt was included with your registration.
  • The T-shirt size you ordered was sent in the 6/10 email – Details #4.  T-shirts are available in sizes ranging from Youth Medium to Adult XX-Large.  If you need to change the size t-shirt you ordered, please send an email to SummerSing@idlewild.org to let us know by 06/24.
  • CD’s will be available for pickup on 6/5.  Pick up your “The Secret of Snowflake County” CD (included in your registration cost) at the Event Registration desk beginning Wednesday Evening, June 5th or during the week from 9:00-4:00 at the Church Offices.  You will need to LISTEN TO THE CD EVERY DAY so you will have a head start on learning the music.  The music should be learned BEFORE the first day.  Just wait until you see the choreography we are going to do!
  • Consent Forms – The status of your consent form has been sent to the email entered in your registration.  Please check and follow the steps below to make sure that yours is complete.
    • If your status is “Complete” that means we do already have a completed consent form for your child.  Thank you!
    • If your status is not “Complete” please follow the steps below
    • If your status is “Not Yet Initiated,” please click on the following link to begin the process: www.idlewild.org/liability-releases/
    • Please note:  once you have entered the parent/guardian names & email addresses you must open each of the emails that are sent to you, click on the link (yellow box that says REVIEW DOCUMENT TO SIGN), and electronically sign the form to complete the process.
    • If your status is “Pending,” “Initiated,” or “One Signed,” please check your email to find the forms and complete the signing process.  If you entered two adults you must respond to both emails in order for the process to be complete.  The emails were sent from the following email address: Idlewild Baptist Church <esign@idlewild.org> on behalf of Idlewild Baptist Church <donotreply@docverify.com> with the subject: Please Sign 23094 – Minor Release.  If you can not find the original emails, or if there was a typo in the email address shown, please begin the process again by clicking on the following link.  www.idlewild.org/liability-releases/
    • Remember that your child will not be able to participate until we have received this form signed.
  • Water Bottles – Water will be available at snack time and lunch, and students may stop by a water fountain between classes.  If your child would like to have water with them at all times throughout the day they will need to bring their own water bottle marked with their name each day to SummerSing.  We also suggest that students bring a small bag or backpack marked with their name that they can use to carry their water bottle, folders, etc.

SummerSing 2019 Auditions: Monday, June 17 at 6:30pm, Room #A214 – Children’s Building

  • All students will participate in the Family Night Show. All SummerSing participants will learn songs from the musical and be a part of the mini-musical presentation on Family Night.  Only those who would like to have a special part (solo or speaking part) will need to prepare as outlined in the audition details and audition on the 17th.
  • Make-up auditions will be by video submission only.  You will need to video your child performing the audition as described in the audition details above.  Once complete, upload your video to YouTube (unlisted), Drop Box, Google Drive, or any other web based file storage site and create a shareable link.  You will need to email the link to Sheila Goskie at sgoskie@idlewild.org and let her know your child’s name, grade and part they are auditioning for (solo or speaking part).  If you are unable to upload the video, you may copy it to a flash drive, place it in an envelope marked “SummerSing Auditions – Sheila Goskie” and drop it off at Event Registration on Wednesday evenings or Sunday mornings.  You may also drop it off at the main church office Monday – Friday from 9:00 – 4:00.  Be sure to include your child’s name, grade and part they are auditioning for inside the envelope with the flash drive.
  • All videos must be received on or before 6/17 at noon in order to be considered for a special part.  If your child is interested in a special part but unable to attend the audition it is your responsibility to make sure that your video audition has been received.  There will be no late auditions considered.

Lunch.  Your specific lunch selections were emailed to you on 5/15.  . You may add lunches but we must have lunch reservations & payment ($6.00 per day) no later than July 1.  We will be unable to refund your money after that date. Pizza lunch on Friday is provided as part of your registration(If you are bringing your lunch be sure to mark it with your first and last name.)

  • Monday – Culvers: Cheeseburger / Chips / Applesauce / Drink
  • Tuesday – Publix: ¼ Turkey sub / Fruit / Cookie / Drink
  • Wednesday – Mr. Empanada: Cuban Sandwich / Chips / Cookie / Drink
  • Thursday – Carrabba’s: Penne Past w/Meat Sauce (red) / Bread / Cannoli / Drink
  • Friday (included free) – Pizza / Drink

Here’s the scoop on classes.  You will be informed of your classes on the first day of SummerSing EXCEPT for classes like guitar, violin, etc.  Because in some classes you will need to prepare or provide something, we will let you know if you are in one of those classes the week before the week of SummerSing.  We will also have information on renting instruments.  Remember that all classes are not available at all class hours for each grade level.  If we can’t fill your class schedule with your registered choices we will contact you via email.  We are doing our best to schedule the classes you signed up for based upon your registration date, but please be willing to enjoy whichever classes we can fit you in. They will all be fun, and you will learn something exciting!  There will be no refunds offered.
